We are the "data controller" for the personal information described in this policy. That means we decide how and why your information is used.

What information we collect
When you join our waitlist or submit our garden intake form, we collect:
| Information | Why we collect it |
|---|---|
| Your name | To address you personally and manage your enquiry |
| Your email address | To contact you about GardenLens, send early access, and reply to you |
| Your postcode | To determine your local climate, hardiness zone and growing conditions so we can recommend plants that will thrive |
| Your garden details (space, light levels, soil type, style preference, colour preference, maintenance appetite, budget, timeline, household details such as whether children or pets use the garden, and your goals) | To generate a planting design suited to your garden and to keep your household safe by excluding plants that are toxic or unsuitable |
We also collect limited technical information automatically when you visit the site, such as your IP address, browser type and pages visited. This is used to keep the site secure and understand how it is used.
We do not knowingly collect information from children under 13. Our service is intended for adults.
Why we can use your information (lawful basis)
Under UK data protection law we must have a lawful basis for using your information:
- Consent — when you submit the form to join our waitlist or request a design, you are consenting to us using your details for that purpose. You can withdraw your consent at any time.
- Legitimate interests — to operate, secure and improve our website and service, in a way you would reasonably expect and which does not override your rights.
- Legal obligation — where we must keep records, for example for tax purposes.
How we use your information
We use your information to:
- create and send you a personalised planting design or plant recommendations;
- contact you about your enquiry, your waitlist place, and early access to GardenLens;
- improve our plant database, design recommendations and service;
- keep the website secure and working properly.
We will not send you unrelated marketing from other companies, and we do not sell your personal information to anyone.
Who we share it with
We only share personal information with service providers who help us run GardenLens, and only so far as they need it:
| Who | What they do |
|---|---|
| Formspree | Receives and stores your form submissions and forwards them to us |
| Cloudflare | Hosts our website and protects it from attacks |
| Our email provider | Delivers and stores our email correspondence with you |
These providers act on our instructions. Some may store data outside the UK; where that happens, we take steps to ensure your information is protected to UK standards, for example through approved safeguards such as the International Data Transfer Agreement or an adequacy decision.
We may also disclose information if required by law.
How long we keep it
- Waitlist and enquiry details: until you ask us to delete them, or after 24 months of no contact from you, whichever comes first.
- Design and garden information: for as long as we are providing you with a service, plus 12 months.
- Records needed for tax or accounting: for as long as the law requires (usually 6 years).
How we keep it safe
We use reputable service providers, keep access to your information limited to those who need it, and protect our accounts with strong passwords and two-factor authentication where available. No online service can be completely secure, but we take reasonable steps to protect your information.
Your rights
Under UK data protection law you have the right to:
- be informed about how we use your information (this policy);
- access a copy of the personal information we hold about you;
- rectify information that is inaccurate or incomplete;
- erase your information ("right to be forgotten");
- restrict how we use your information;
- data portability — receive your information in a portable format;
- object to us using your information, including for direct marketing;
- withdraw consent at any time, where consent is our lawful basis.
To exercise any of these rights, email us at [email protected]. We will respond within one month. Exercising your rights is free of charge.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to address your concerns first.
Cookies
Our website does not currently use cookies or similar tracking technologies beyond what is strictly necessary for the site to function and stay secure.
